Manage Assets
Assets that have been created will be listed on the Manage Assets page, located through clicking Assets under the Manage menu. Users with manage permissions for an asset will see assets listed here.
These users could be:
The asset creator
The asset administrator
Any user that has had manage permissions shared with them for that asset
Asset Overview
Clicking on an asset will take you to the Asset Overview page. It contains a range of tabs to help you manage it. Depending on the tab, you can make adjustments to the detail. You must save for any changes to be applied and changes will be applied immediately.
Here, you can review the configuration detail of the asset. This includes the connector used to create it, the data location and whether its an At Source or On Platform asset.
You can set the display name of the asset, give it a description and apply appropriate categories and tags. The categories and tags will enable filtering on the my collection view for asset consumers and in the manage assets view for asset managers.
Metadata
Some based metadata metrics are obtained during asset setup. These metrics are displayed to consumers once the asset is shared with them or is available to view when contained in a product.
There are a number of standard metrics
Format
Columns (table assets only)
Rows (table assets only)
Created date
Last data refresh date
You also have the ability to add more metadata if there is anything in particular you’d like to include. To add custom metadata
Click add custom metadata
Provide a Key
Provide a Value
Click Save
Integration Metadata
In addition to custom metadata that is visible and informative to consumers, integration metadata can be added. This allows you to integrate your asset with an externally driven processes, and is information not viewable by consumers. The process of adding integration metadata works identically to adding custom metadata, requiring you to add a Key Value pair that references external information.
Dictionary
The data schema showing columns, data types and descriptions for table assets is presented here. You can add or update descriptions for each column. This will ultimately be visible to consumers once the asset is shared with them or is available to view when contained in a product.
Sample
A 10 row sample of table data is retrieved during setup. As a product creator, you can decide whether this is to be exposed to consumers or not.
In some cases the sample is necessary to give consumers a sense of fill rate or examples of values contained in the data. Where a sample is not appropriate, it can be toggled off. It is toggled off by default to avoid inadvertent exposure of data.
Delete a Draft Asset
You can delete an asset if it is no longer needed or has been created by mistake. The deletion of an asset removes it from the platform as well as entirely deletes the data from all known storage locations associated with that asset on the platform. Draft assets can be deleted with relative ease.
Note: You must have manage permissions for the draft asset to perform this action, these could have been obtained from
Creating the asset
Holding an asset administrator role
Receiving asset management permissions via a share
Navigate to the Manage assets page by clicking Assets under the Manage menu in the Navigation bar.
Find an asset and click on the three dots > Delete to delete a draft asset.
You are asked to confirm your choice and informed that this cannot be undone
Confirm the action to proceed.
Delete a Live Asset
Deleting a live asset is more complicated than that of a draft as there may be dependencies and relationships at play that need to be managed or the effects of deletion accepted.
Note: You must have manage permissions for the live asset to perform this action, these could have been obtained from
Creating the asset
Holding an asset administrator role
Receiving asset management permissions via a share
Navigate to the manage assets page by clicking Assets under the Manage menu in the Navigation bar.
Find an asset and click on the three dots > Delete to delete an asset.
Depending on where the asset has been used, you may see a simple confirm deletion modal or a modal listing the blocking or non-blocking dependencies. The dependencies that could apply include:
Asset is used in a product
Spaces
Exports
Tasks
Code assets
Relationships that prevent immediate deletion include
Assets being in a product - these must be removed from all products first
If the asset is used in a product, you must navigate to the management page or contact a user who can, and remove the asset from the product.
Return to the asset management view and click delete.
If the assert is used in Spaces, Exports, Tasks or Code assets, make sure you understand the possible effects of deletion and then confirm the deletion to proceed.
Asset can also be deleted from the asset overview page or during setup.
